The goals:
- The key concept is to simplify and streamline the manual volunteer workload
- Transfer the manual, tedious work such as new and renewal membership administrative work to some sort of web-based automated system so that the member does the first and only data entry for us. Eliminates typos and helps us from repeating the work that the member already did.
- Accept web-based payments via PayPal and other credit card means without having to signup as a CC merchant which is messy. Funds get directly deposited into the clubs bank account without the club ever seeing the member's CC number.
- Membership data should be encrypted and shared via internet connectivity so that select club officers and select voluntreers can not only share member data but share in the workload
- Serious data security and off-line backups are a must
- Exporting membership lists to NHSA is a core requirement
- Exporting membership and income data to Quickbooks would be nice (I found one that does)
- Print unique, signed membership cards via PDF that they can take to a registration location.
- Still have a manual, paper-based system for walkins or the technology-challenged (that number is getting less and less)
- Urging the past members to sign-up and pay early via the web will help club's cash flow... maybe think about some sort of financial incentive for web-signups (or walk-in dis-incentives).
After asking around I have been shocked on how much volunteer time the clubs have been spending on the repetitive administrative work. I'll share some of the options that I have found but a few even come semi-close to the list above. Since these platforms were designed for clubs, they need to be very reasonably priced and some are.
